Provide administrative support to a producer and to the office, through managing email, answering phones, and processing mail. 



Essential Duties and Responsibilities:

    • Provides support to producer (sales person) by managing email and phone, scheduling meetings, notifying producer of upcoming renewals, and providing other producer assistance as requested


    • Answers, announces, transfers and directs callers using Ring-Central phone system and Agency Management System if and as needed for the office


    • Processes daily bank deposits through electronic scanner


    • Processes daily shipping via on-line system, mail meter, and/or other delivery method.


    • Opens, routes, and delivers incoming mail, answers correspondence, scans mail, and prepares outgoing mail.


    • Composes and drafts routing correspondence and emails.


    • Performs routing copy and bind projects.


    • Prepares meeting rooms, stocks office supplies, and/or runs company errands as needed.


    • Coordinates orders, plans events for internal and external venues.  


    • Assists with business travel arrangements


    • Works with departmental heads and CEO for special assignments and projects.


    • Other duties may be assigned.


Minimum Qualifications, Education and/or Experience:

  • Two (2) year Associates Degree; or three (3) to five (5) years of related experience and/or training; or equivalent combination of education and experience preferred.

    Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers and other employees of the organization.



    To perform this job successfully, an individual should be able to speak, read, write, listen and communicate in a pleasant and professional demeanor.  Ability to sense, interpret, evaluate, and ask questions to effectively transfer the caller to the appropriate person, is required.



    To perform this job successfully, an individual should have a working knowledge of word processing, spreadsheet presentation and Internet software.



    Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.



    The noise level in the work environment is usually that of a typical office.  



    While performing the duties of this job, the employee is occasionally required to stand, walk, use hands to finger, handle or feel, reach with hands and arms and stoop, kneel, crouch or crawl.  The employee must infrequently lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.
