  • Overview

    Summary:  Coordinate and oversees the daily operations of the payable / disbursement function of the accounting department.  Ensuring payments and credit card transactions are processed accurately and efficiently while also leading efforts to simplify and improve the processes. Manages their personal daily workload, coordinating and collaborating with colleagues across functional areas regarding accounting matters.

     

    Responsible for depositing and posting of all deposits daily.  Must operate in a manner consistent with GAAP accounting rules. Works with accounting staff in other offices to ensure that reconciliations are in balance.  Computes, classifies, records, and verifies numerical data for use in maintaining accounting records by performing duties as described.

     

    Assists with journal entries under supervision; helps in preparation of reports and posting to specific accounts as assigned. 

    Responsibilities

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

     

    Compiles and sorts documents, routes invoices to the appropriate individual for review and approval.  Electronically files accounting support documentation in a timely manner.

     

    Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews for accuracy.  Ensures accurate and timely entry of invoices, weekly payments via wire transfers, ACH payments and manual checks as required. Ensures proper approvals for all payments prior to payment execution.  Responsible for processing finance agreements and forwarding to the respective finance company in the allotted time frame.

     

    Codes data for input to financial data processing system according to company procedures.  Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.  Completes posting uploads.  Audits expenditures/invoices for proper authorization, duplicate payment, and ensures expenses are coded correctly in the GL.   

     

    Responsible for providing various schedules and reports to management. 

     

    Assists with vendor payable software conversion for existing sites as well as onboarding of newly acquired agencies.

     

    Backs up company payable person as needed.

     

    Follows company procedures with respect to all essential duties and responsibilities of the job.
