    Job Title: Intake Project Coordinator

    Department: Operations / COE

    Reports to: Director of Operations

    FLSA Status: Exempt


    Summary The Intake Project Coordinator is responsible for obtaining and compiling data requirements for system and process implementation; maintaining client, broker and carrier contact in the effort to provide teams with necessary required information; and monitoring progress to assure deadlines, standards, and targets are met.


    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    • Work directly with external and internal clients, and vendors as the central point of contact.
    • Manage timelines to ensure adherence to project schedule and scope.
    • Develop, update and maintain comprehensive plan and project documentation.
    • Support multiple projects.
    • Monitor, measure and track project milestones and deliverables.
    • Address client and vendor escalated issues in a professional manner.
    • Confer with project personnel to identify and resolve problems.
    • Ensure all requirements are delivered on-time within client requests and scope of project.
    • Assist in pre-sales process as required.
    • Establish and maintain relationships with third parties/vendors and clients.
    • Respond to routine and non-routine correspondence.
    • Work independently and within the team on special nonrecurring and ongoing projects.
    • Represent AP Benefit Advisors in a positive and professional fashion with both internal and external customers.
    • Maintain composure and effectiveness under pressure in a deadline driven environment.
    • Perform other duties as assigned.

    • Bachelor’s Degree Preferred
    • 5+ years of project management experience or combination of education and/or equivalent work experience
    • Proficient with Microsoft Office products
    • Strong PC skills with the aptitude to learn new systems.
    • Knowledge of health, life and disability plans preferred
