Summary

 

Perform Front Desk Clerical Duties which include but not limited to the following.

 

Responsibilities

Essential Duties

 

Follows company policies and procedures with respect to all essential duties and responsibilities of the job.

 

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department and maintains call log.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

 

Maintains Reception area and Conference Room appearance

 

Picks up Mail from P.O. Box, opens, sorts and distributes into mail boxes and scans through electronic filing system. Processes outgoing mail using online system and postage machine as well as Overnight & Certified.

 

Electronic Filing & photocopying when needed.

 

Check fax lines daily to assure in working order.

 

Answers questions about organization and provides callers with address, directions, and other non-insurance related information.

 

Retrieves and routes incoming faxes and e-mails.

 

Prepares Clerical Policy Worksheets.

 

Prepare New Business Kits.

 

Prints correspondence, reports, and other documents when necessary.

 

Maintains Office Outlook calendar.

 

Processes Personal Lines Cancellations.

 

Mails Personal Lines Polices with letters daily.

 

Process Finance Company Notices.

 

Additional tasks may be assigned as needed.

Qualifications

Education and/or Experience                                               

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

 

Language Skills                                            

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
