Job Title: Retirement Services Administrative Assistant

Department: Retirement Services

Reports To: Retirement Services Vice President

FLSA Status: Non-exempt



Summary The Administrative Assistant supports the Account Managers, Account Executives and Vice President in the service of retirement services clients with the efficient delivery of products, services and analysis in accordance with the clients’ strategies.


Essential Duties

Scans documents and save to drive. Copies documents.


Proofread documents checking for proper grammar, spelling and sentence structure


Prepares, formats and binds presentations


Processes and updates employee applications online or manually


Checks spreadsheets for Account Managers and Account Executives


Maintain filing on a weekly basis


Assemble client presentation proposals and enrollment kits


Database management and maintaining client files (address updates, name changes/corrections, terminations)


Prepare contribution files and case deposit forms.


Log checks and correspondence for securities clients


Process sold case paperwork


Prepare employee communications for enrollment meetings


Process distributions and loans for third party administrators


Work on special projects as assisgned and contributes ideas for improvements in efficiency of workflow process

Education and/or Experience                                               

Associate degree or six months related experience and/or training; or equivalent combination of education and experience. Basic understanding of excel and mathematical equations is highly desired.
