Provide a variety of administrative functions. Processes documents, maintains and organizes records, resolves priorities with constant changes, tracks deadlines, sets reminders, assists with presentation materials, and creates and maintains spreadsheets. Ability to work professionally under pressure with short deadlines is needed.



Essential Duties and Responsibilities

  • Assist Corporate Executive Assistants with administrative and clerical support.
  • Process documents including invoices, expense reports, contracts, vendor agreements, check requests, and other forms.
  • Organize and maintain file system and records.
  • Compose and prepare correspondences, spreadsheets, reports, and other documents.
  • Assist with receiving, sorting, and distributing mail.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings and other documents.
  • Assist with ordering and maintaining supplies and inventories.
  • Provide administrative support for other departments as needed and as time permits.
  • Provide back-up coverage with the Receptionist role as needed.
  • Assist with meeting planning, document preparation, shipping materials, meeting supplies, and other items as needed.
  • Create, maintain, and track Corporate expense reports.

Education and/or Experience                                               

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
