Overview

We're seeking a detail-oriented Talent Acquisition Operations Coordinator to support the daily operations of our recruitment systems and processes. This role manages the TA inbox, supports system maintenance and data accuracy, assists with reporting, and helps implement tools and process improvements. Ideal for someone early in their HR career, this role offers hands-on experience with systems, vendors, and cross-functional collaboration in a fast-paced environment.

What You'll Do

  • Manage talent acquisition inbox through effective email management and direct inquiries to relevant parties.
  • Support day-to-day operations of the ATS and other talent systems, developing a solid understanding of talent acquisition processes, system integrations, testing, communication, and training requirements.
  • Initiate and track assessments for sales candidates during recruitment process.
  • Support chargeback process for talent acquisition systems, ensuring accurate cost allocation and reconciliation across departments.
  • Audit and maintain system data to ensure compliance with internal policies, as well as legal and regulatory requirements related to recruitment activities.
  • Generate reports and dashboards to track recruitment metrics against KPIs, analyze data, and provide insights to improve recruitment strategies.
  • Collaborate with talent acquisition team to identify areas for process improvement and contribute ideas to streamline operations.
  • Support external vendors, assisting in managing relationships and ensuring vendor performance aligns with contracts and service level expectations.
  • Help create, maintain, and update policies and standard operating procedures (SOPs) for the talent acquisition team to follow.
  • Support the implementation of new tools, technologies, or processes aimed at enhancing recruitment efficiency.
  • Organize recruitment-related materials, track project deadlines, and ensure resources are readily accessible for the team.
  • Stay updated on industry trends and best practices within talent acquisition and talent management, contributing recommendations to improve systems and processes.
  • Support creation of training for recruiters and hiring teams on system optimizations and process improvements.
  • Assist in performing data analysis and validation to ensure the accuracy and consistency of Talent/HR data affected by system changes and updates.

What You'll Need

  • Bachelor's degree in human resources, Business Administration, or a related field.
  • 1 year of experience in talent acquisition, HR project management, or a related role.
  • Ability to effectively utilize available and relevant technical tools and resources (e.g. Microsoft Office and Excel).
  • Strong listening skills with ability to ask detailed questions to gain an understanding of assignments and the business.
  • Professional and proficient verbal and written communication skills.
  • Excellent communication and stakeholder management skills.
  • Ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
  • Certification in project management (PMP, CAPM) or HR (PHR, SHRM-CP) is a plus.
