Overview

As a member of the growing Meetings & Events Team at our Corporate Headquarters, the Meeting and Events Coordinator will assist with the coordination, planning, and execution of the company’s Corporate and Regional meetings from conception to completionThe Event Coordinator will be responsible for sourcing, coordinating, and managing events across the USA successful candidate will demonstrate excellent professional and interpersonal communication skills, strategic planning skills, and the ability to troubleshoot when things don’t go according to planOur Event Coordinators “run the show,” navigating each essential step in the event process alongside the Meetings & Events TeamThis is an exciting opportunity with room for growth for someone that is a professional team player, has a high attention to detail, is extremely organized and accurate, and has a passion for learning more within the event and hospitality industry.

What You'll Do

  • Collaborate with the team and assist wherever needed.
  • Assist in multiple meetings/events simultaneously with time constraints.
  • Understand all requirements, vision, and goals for each event.
  • Assist team in the entire event lifecycle including research, sourcing and site analysis, development, event website and mobile app management and communications, F&B and AV planning and coordination, event documents and reporting, and more.
  • Research and source venues, vendors, sponsors, speakers, etc.
  • Collaborate with other departments and teams, including departmental, executive, and regional assistants as needed.
  • Establish and maintain relationships with venues, vendors, etc.
  • Ensure all events abide by our company brand and reflect our company appropriately.
  • Travel is expected to be up to 10% in this role for a few of our large National Events.
  • Other duties as assigned.

What You'll Need

  • Bachelor's degree in Event/Hospitality Management, Marketing, or relevant field is preferred; or 1+ years professional meeting experience; or equivalent combination of education and experience.
  • Knowledge and/or proficiency in job related computer software and applications including the entire MS Office Suite, Cvent Event Management, Adobe Acrobat, Social Tables, Zoom, and web conferencing software.
  • Excellent written and verbal communication skills, including the ability to communicate to Senior Level Leaders within our organization as well as third party vendors and speakers.
  • Demonstrates a sound working knowledge of current role and the technical systems, applications and equipment used in performing this role, and understands the impact this role has on other business functions within the organization.
  • Excellent organizational, negotiation, problem solving, forward thinking, and multitasking skills.
  • Sets high standards and measures of excellence to ensure quality assurance in every aspect of work performed.
  • Located in Central Florida to work out of our Corporate Headquarters in Orlando, FL with a flexible hybrid schedule.
  • First 90 days will be in office 4 days per week, 1 day remote while not traveling for events.

 

Physical Demands & Work Environment

  • Exerting up to 20 pounds of force occasionally to lift, carry, pull, or otherwise move objects.
  • Walk and stand for extended periods of time, especially during events.
  • Able to bend, twist, and reach, especially during events.
  • Able to travel through public transportation including air travel, rental vehicles, or use of personal vehicles for local events.
  • Work hours may be shifted or extended due to events with the ability to work events and weekends as needed for working onsite events.
